Cancellation & Refund Guidelines

At OlympiaNex India, we understand that plans and requirements may sometimes change. This Cancellation & Refund Policy explains how cancellations, rescheduling requests and refunds may be handled for our services, programs, events, swimming activities, tours and other experiences.

The applicable cancellation or refund terms may vary depending on the specific service, booking, event, venue, program, duration, third-party arrangements and other agreed requirements.

When Is a Booking Confirmed?

Submitting an enquiry through our website, email, telephone, WhatsApp or another communication channel does not automatically create a confirmed booking.

A booking or service may be considered confirmed only after the relevant requirements, availability, pricing, payment terms, schedule and other applicable details have been agreed and confirmed by OlympiaNex India.

• Service or program requirements are confirmed.
• Availability has been confirmed.
• Applicable pricing has been communicated.
• Required payment or advance has been received, where applicable.

Cancellation by the Customer

If you need to cancel a confirmed service, program, event, swimming session, tour or other booking, please contact OlympiaNex India as soon as possible.

The applicable refund, deduction or cancellation charge may depend on the nature of the service, the time of cancellation, advance payments made, venue commitments, third-party arrangements and other costs already incurred.

Rescheduling a Service or Program

Where possible, OlympiaNex India may allow a booking, program, event or activity to be rescheduled instead of cancelled.

Rescheduling is subject to availability and operational feasibility. A rescheduling request does not automatically guarantee availability for the requested alternative date or time.

• Alternative dates must be available.
• Venue availability may affect rescheduling.
• Additional costs may apply where applicable.
• Third-party arrangements may affect rescheduling.

Refund Eligibility

Refunds, where applicable, will be determined according to the specific service terms, booking conditions, cancellation timing, payments received, costs incurred and any applicable third-party commitments.

Not every cancellation will necessarily qualify for a full refund.

Costs Already Committed

Certain services may require OlympiaNex India to make advance commitments to venues, vendors, transportation providers, accommodation providers, instructors, event partners or other third parties.

Where such costs are non-refundable or have already been incurred, the corresponding amount may be deducted from any applicable refund, subject to the agreed terms and applicable law.

Events, Activities & Group Programs

Cancellation and refund conditions for sports events, school programs, corporate activities and group programs may depend on participant numbers, venue arrangements, equipment, staffing, scheduling and other operational commitments.

Where a program has already been organised or significant third-party commitments have been made, the amount eligible for refund may be affected by costs already incurred.

Swimming Classes & Aquatic Activities

Cancellation, missed-session and rescheduling conditions for swimming programs may vary depending on the specific program, package, schedule, facility rules and booking terms.

• Missed sessions may not automatically qualify for a refund.
• Make-up sessions may be subject to availability.
• Facility rules may apply in addition to OlympiaNex India terms.
• Specific program terms may override general cancellation conditions.

Participants and parents or guardians should review the applicable program terms before confirming participation.

Tours, Travel & Experience Bookings

Sports tours and experiences may involve transportation, accommodation, venue bookings, activities, tickets, meals, instructors, third-party operators and other arrangements.

Cancellation and refund conditions may therefore depend on the individual arrangements and the terms imposed by relevant third-party providers.

When We May Cancel or Modify a Service

In certain circumstances, OlympiaNex India may need to cancel, postpone, modify or reschedule a service, event, program or activity.

Such circumstances may include safety concerns, venue availability, severe weather, operational requirements, government restrictions, insufficient availability or other circumstances beyond our reasonable control.

Where reasonably possible, we will communicate significant changes and discuss available alternatives with the affected client or participant.

Force Majeure & Events Beyond Our Control

OlympiaNex India will not be responsible for cancellations, delays or interruptions caused by circumstances beyond reasonable control.

• Natural disasters
• Severe weather
• Government restrictions
• Public emergencies
• Transportation disruptions
• Venue closures
• Technical failures
• Other unforeseen circumstances

In such circumstances, OlympiaNex India may, where reasonably possible, offer rescheduling, alternative arrangements or other appropriate solutions depending on the circumstances.

How to Request a Refund

To request a cancellation or refund, please contact OlympiaNex India using an official communication channel.
